PAIA Manual

How to request access to records we hold, under the Promotion of Access to Information Act (PAIA). All private bodies in South Africa must publish this manual.

This manual is published under section 51 of the Promotion of Access to Information Act, 2000 (PAIA). It explains the records we hold and how to request access to them. It is a working draft based on the Information Regulator's template and will be finalised with our attorney.

1. About the body

Private body: Trade Caravan.

2. Information / Deputy Information Officer

The head of the body is the Information Officer. Requests and PAIA queries: [email protected].

3. The Information Regulator

You may contact or complain to the Information Regulator (South Africa): inforegulator.org.za; PAIA email [email protected]. The PAIA Guide compiled by the Regulator is available on their website.

4. Records we hold

  • Customer/account records — registration, subscription and billing records.
  • Operational records — shipment data entered into Real-View, support correspondence.
  • Business records — company, tax, financial and statutory records.
  • Employment records — where applicable.
  • Records held under other laws (for example the Companies Act, the Income Tax Act, the VAT Act, the Basic Conditions of Employment Act and POPIA).

5. How to request access

Submit a request on the prescribed PAIA request form to the Information Officer at the email above. Describe the record, the right you seek to exercise, your contact details and the form of access required. We will respond within the periods set by PAIA. Prescribed request and access fees may apply.

6. Grounds for refusal

Access may be refused on the grounds set out in PAIA — for example to protect another person's privacy, third-party commercial information, or confidential/legally privileged records.

7. Annual reporting

We note our obligation under section 83(4) of PAIA to report annually to the Information Regulator on PAIA requests received.
